Visiting our website
Our website does not use cookies, analytics, tracking pixels or advertising, and it does not load content from third parties such as social media widgets or external fonts. We do not build profiles of our visitors.
Our hosting provider, Cloudflare, processes technical data that every web request carries, such as your IP address, browser type and the page requested, in order to deliver the website and protect it against abuse. This data is kept in short-lived server logs and is not used by us to identify you. The legal basis is our legitimate interest in operating a secure website (GDPR article 6(1)(f)).
The links to Facebook and Instagram on our website are plain links. Nothing is shared with these services unless you click a link, in which case their own privacy policies apply.
When you contact us
When you contact us by email or phone, we process the information you give us, typically your name, email address, phone number and the content of your message, in order to answer your enquiry. The legal basis is our legitimate interest in replying to you, or steps taken at your request before entering into an agreement (GDPR article 6(1)(f) and 6(1)(b)).
When you use our services
To help you relocate, we process the personal data that the specific assignment requires. Depending on the services you choose, this may include:
- Contact details for you and, where relevant, your family members
- Information about your housing needs, budget, moving dates and preferences
- Identity and immigration details, such as passport information, nationality, residence and work permit status and CPR number, when we assist with registration and applications
- Information about your children, such as age and schooling needs, when we assist with daycare and schools
- Your employer’s details, if your employer has engaged us
- Invoicing and payment information
The legal bases are the performance of our agreement with you or your employer (GDPR article 6(1)(b)), our legal obligations, for example under the Danish Bookkeeping Act (article 6(1)(c)), and our legitimate interest in delivering the service your employer has ordered for you (article 6(1)(f)). We process your CPR number only where it is needed for registration with Danish authorities or otherwise permitted by the Danish Data Protection Act section 11.
We only collect what we need for the task at hand. We do not use your data for marketing without your consent, and we never sell it.
Who we share your data with
We only share personal data when it is necessary to carry out the services you have asked for, or when the law requires it. Recipients may include:
- Landlords, letting agents and housing companies, when we search for and secure housing for you
- Danish public authorities, such as the municipality, the Danish Agency for International Recruitment and Integration (SIRI) and the Danish Agency for Digital Government, when we assist with registration and permits
- Daycare institutions and schools, when we assist with enrolment
- Trusted partners, such as movers, furniture suppliers and legal advisers, when you have asked us to involve them
- Your employer, if your employer has engaged us, limited to what is needed to coordinate and invoice the assignment
- IT and service providers that process data on our behalf, such as email and hosting providers and our accountant, under data processing agreements
Some of our IT providers may process data outside the EU and EEA. When that happens, we make sure the transfer is covered by an adequacy decision of the European Commission, such as the EU-US Data Privacy Framework, or by the European Commission’s standard contractual clauses.
How long we keep your data
We keep personal data only as long as it is needed for the purpose it was collected for:
- Enquiries that do not lead to an assignment are deleted no later than 12 months after our last contact.
- Data about an assignment is kept for up to 3 years after the assignment ends, so that we can handle follow-up questions and legal claims.
- Accounting records, including invoices, are kept for 5 years from the end of the financial year, as required by the Danish Bookkeeping Act.
- Copies of identity documents and permits are deleted as soon as the task they were needed for is completed.
Your rights
Under the GDPR you have the right to:
- Request access to the personal data we hold about you
- Have inaccurate data corrected
- Have your data deleted, unless we are required to keep it
- Have the processing of your data restricted
- Object to processing based on our legitimate interests
- Receive the data you have given us in a structured, commonly used format (data portability)
- Withdraw your consent at any time, where processing is based on consent
To exercise your rights, contact us at info@relocationaarhus.dk. We will reply within one month.
Complaints
